NUSSO portal

Northeastern faculty and staff can request major event venues, outdoor spaces, tabling locations, CSC meeting rooms, and some academic classrooms through this portal. Any questions about NUSSO or the reservation process can be directed to the CSC Scheduling Office.

Northeastern has preimum event spaces on campus that can be used for concerences, meetings, performances and special events.  Those venues include East Village 17th floor, EXP 8th floor, Alumni Center and 300 Mass Ave.  Please visit the Advancement Event Spaces website for more information on the venues and how to book.

Event Resources

For anything that requires immediate attention to the physical setup at your event, impromptu revisions on the day of event, changes to room configurations, or unexpected issues with the event space, call Facilities Customer Services at (617)-373-2754. 

All other questions of inquiries should be sent to whomever you booked the event with, or  Facilities Event Services 

Event Forms

Once your event space is booked, you will need to coordinate details so that the space is set up correctly and the event staff is aware of what you would like to do.  Below are the 4 main forms used across campus to coordinate event information.  

Event Services Request (ESR)

Submit the ESR online form to capture event requirements and coordinate facilities. Complete the form 14 days before your event.

Electrical Request Form

Complete and attach an Electrical Request Form to the ESR for all event electrical needs, including support for DJ equipment, food warmers, popcorn makers, and outdoor lighting.

Facilities Work Request

Submit a Facilities Work Request for comprehensive event setup, maintenance, and logistical support to ensure your event runs smoothly.

Event Management Form

If you already have a major space reserved, complete the Event Management Form to start the conversation with the event team, giving them an idea of what your event will be like including the room setup the tech needs involved.

useful policies and information

Bake Sale Policy

Only student organizations and approved academic class projects may conduct bake sales on campus, provided they meet the correct criteria.  Please review CSI's Bake Sales policy on their fundraising page for more details.  

Cancellation Policy

Please cancel any reservations you do not plan on using so that other groups have an opportunity to use the space.  If a group does not show up to their reservation they could be penalized.  Cancelling a major event space within 2 weeks of the scheduled start date may incur cancellation fees. All cancellations must be in writing and submitted at least 15 days before the event to avoid charges.
For example, if your event is on a Wednesday, the cancellation must be submitted by 12PM, 15 days prior to your event (Tuesday at 12PM). For weekend events, cancellations must be made by 12pm on the Friday two weeks before the event to avoid charges. If you do not cancel, and the event remains in "tentative" status, you will still be charged staffing fees.

Catering & Alcohol

1) Chartwells is our local and preferred caterer and offers a variety of menu options.

2) Events serving alcohol require a Police Detail request to NUPD.

Cooking Grills

1) Outdoor cooking grills are only allowed at designated locations, specifically Centennial and West Village Quad. 

2) Grills should NOT be used in proximity to buildings or other structures. 

3) Event Services and Fire & Safety must be alerted through an online request prior to use. An onsite fire extinguisher is mandatory. 

Electrical

1) Submit all necessary electrical requirements through the Event Service Request (ESR).

2) Outdoor electrical ports can be activated upon request, weather permitting.

3) Complete and attach an Electrical Request Form to the ESR for support with the following:

  • DJ equipment
  • Food warmers
  • Popcorn & cotton candy makers
  • Outdoor lighting and monitors

Event Service Request

1) Submit an Event Service Request (ESR) online form to capture detailed event requirements. The ESR form must be completed 14 days before the event date.

2) Facilities coordinated services will be determined based on the information provided in the ESR.

4) Submission requirements for space setup vary; a complete list of submission forms and contacts can be found in the Event Setup Submission Guide.

5) Students must consult their program manager for event space reservations and setup request submissions.

Event Signage

1) The Sign Shop offers a variety of services to help you with event signage including custom signage, event banners, and directional signs.

2) To request signage, submit a Facilities Work Request at least two weeks before your event.

3) For more information on the process, pricing and types of signs, visit the sign shop website. For more information or specific inquiries, contact the Sign Shop directly at nusignshop@gmail.com

External Events

1) Events with external entities involved, must be reviewed by the External Events and Conference Programs Department. 

2) Televised Events requires Media Relations approval. 

Indoor Flame

1) The use of flame lit chaffers at indoor spaces requires approval from the Fire & Safety department. 

2) A Facilities Work Request must be submitted for evaluation. 

3) Flames are strictly prohibited inside tents. 

Outdoor Water Access

1) Potable water is available for events at specific outdoor locations including, Snell Lib Quad, Centennial, and West Village Quad. 

2) To request access an Event Service Request is necessary. 

Parking

1) Campus parking is managed by MasParc. Day passes are available for purchase.

2) Matthews Arena Pay-lot can be rented for large events when avaliable.

Required Permitting

1) Event Services should be informed of all structural installations. 

2) Ground supported structures above 10ft requires city permit, typically acquired by vendors. 

3) Overhead installations requires structural engineer approval. 

4) City of Boston mandates a fuel storage permit for Generators. 

5) Copy of permit should be sent to Facilities Event Services. 

6) Entertainment license is required for outdoor movies and music concerts. City and Community Affairs should be notified. Contact: David Isberg or Michael Fitzgerald. 

Safety

1) Ensuring the safety of all event attendees is of utmost importance. 

2) Any equipment or practice that presents a potential safety risk, should be thoroughly examined by our Risk Service Department. 

Solicitation Policy

Under Northeastern University's Policy on Non-Solicitation and Sales, no sales or solicitations are permitted on university property or in university buildings and facilities or using university resources or systems without the express written permission of designated university officials. Residence hall groups should request permission to sell within their housing unit from the senior vice chancellor for student life or designee. Student organizations should request permission from the director of the Center for Student Involvement or designee. All others should apply to the Northeastern Business Office and/or senior vice chancellor for student life or their designee. 

Space Access

If you have a reservation in a major event venue and are looking to access the space, please reach out to the person who you have been working with about your event or with the person you made the reservation with.  If you cannot reach them for some reason, you can contact:

1) Facilities Customer Services at (617) 373-2754 for access to event spaces during weekdays from 7am-8pm and weekends from 7am-2pm.

2) Northeastern University Police Department (NUPD) at (617) 373-2754 for access outside of regular business hours.

The use of kitchen spaces at Egan, ISEC, EXP, and 716 Columbus requires approval from the space management team. Approval should be sent to the Building Services Supervisor. Note that overnight storage is not allowed.

Sustainability

1) We strive to incorporate sustainable practices and principles in all operations. To minimize environmental impact across campus, recycle and waste receptacles are strategically placed at all event spaces. Additional units can be provided upon request.

2) Use the Sustainable Events Guide to reduce your event's environmental footprint while ensuring a memorable experience, reflecting our commitment to environmental stewardship and social responsibility.

3) Event composting is currently not supported in-house but can be outsourced. For inquiries on requirements and preferred composting vendors, please contact the Materials and Recycling team at recycle@northeastern.edu

4) We strongly advise against using helium balloons due to their negative environmental impact. Instead, we encourage the use of alternative decorations with a lower environmental footprint.

5) Plastic bottles contribute to environmental pollution and are NOT allowed at any athletic spaces on campus.

Tent Installation

1) Notify the Event Service Department of all temporary tent installations. Prior reservation is required for both the installation and removal of tents.

2) Vendors must ensure proper measures to protect the turf during installation and removal, especially if their equipment lacks turf-safe tires.

3) As required by the Disability Resource Center, event spaces must be accessible to everyone. Tents installed on uneven surfaces must have ADA ramps for accessibility.

Vehicle Restricted Access

All motor vehicles on campus must follow the Vehicle Restriction Map. Vehicles seeking temporary access must obtain approval from Jon Julien’s team. 

Vendors will be provided with placards.
